Office 365/Outlook – email and calendar migration plan

Dear Scripps College Community,
With the Office 365/Outlook go live scheduled for Monday, March 30, 2015, I am writing to let you know some specific details and dates of the conversion plan for email and calendar. In most cases, NO ACTION IS NEEDED on your part. While your email, calendar, tasks, and contact information is moving from GroupWise to Office365/Outlook, GroupWise will still be available to you as a view-only reference until June 30, 2015.
All email in your various mailboxes and folders in GroupWise will be transferred to Office365/Outlook in phases:
- Phase I: Email dated from January 1, 2015 to March 13, 2015 will be transferred to Office365/Outlook during the week of March 16th. NO ACTION IS NEEDED on your part unless you want to delete email from that period before they are moved.
- Phase II: By Monday, March 30, 2015 at 9:00 am, email from March 14, 2015 to March 29, 2015 will be transferred to Outlook. Combined with Phase I, this will provide you with the last three months of email.
- Phase III: Emails before January 1, 2015 will be transferred to Office365/Outlook starting on March 30, 2015. Depending upon the size of your mailbox, this process could take days or weeks. We anticipate that all emails will be transferred by the end of April 2015 at the latest. Again, GroupWise will still be available to you as a view-only reference.
- Phase IV: Phase IV: GroupWise archives – IT will be sending out a survey soon and will work directly with those users with archives in need of moving to Office365/Outlook. The migration of archives will commence as soon as Phase III is complete.
Calendar and Tasks
All Calendar and Tasks existing in GroupWise will be migrated just prior to the March 30th go live date. Again, GroupWise will still be available to you as view only reference.
All contacts will be transferred during Phase I and II above.
You will soon be receiving information with your user name and password as well as information about log in and other details.
This is a monumental undertaking for the entire Scripps community and I thank each of you for your cooperation and understanding as we transition to the new system.
